Who we are
ProXIVision is the trading name of Macauley Bailey, a sole trader in the UK. We build and look after websites for local businesses. We are the data controller for the personal information described here.
Contact: info@proxivision.co.uk or 07378 835081.
ICO registration number: [to be added once registered].
What we collect
- When you send an enquiry: your name, business name, email, phone number (if given), type of business, the package you’re interested in, who recommended us (if given) and your message.
- When you become a client: your contact and business details, your agreement, invoices and payment records, and the content you send us for your website, such as photos, logos and text.
- When you visit this website: our hosting server keeps standard technical logs (such as IP address and browser type) for security. We don’t use advertising or tracking cookies.
Why we use it
| Purpose | Lawful basis |
|---|---|
| Replying to your enquiry and preparing a quote | Steps you’ve asked us to take before a contract |
| Building, hosting and maintaining your website, and billing you | Performing our contract with you |
| Keeping financial records | Legal obligation (HMRC) |
| Thanking someone who recommended us | Legitimate interests (running our referral scheme) |
| Keeping this website secure | Legitimate interests |
We never sell your information, and we won’t send you marketing without your permission.
Who we share it with
Only the services we need to run the business, each of which protects your data under UK GDPR or equivalent safeguards:
- IONOS for hosting, domains and email
- Web3Forms to deliver enquiry form messages to our inbox
- GoCardless to collect Direct Debit payments from clients
- Google Fonts, which supplies this site’s typefaces and receives your IP address when the page loads
- Our accountant, if we use one, for tax records
If you tell us who recommended you, we let that person know so they can receive their reward. We only share their name with you, never your details with anyone else.
How long we keep it
- Enquiries that don’t become clients: 12 months, then deleted.
- Client agreements, invoices and payment records: 6 years after the work ends, as required for tax.
- Your website content: for as long as we look after your website, then returned or deleted.
Your rights
You can ask us to see, correct or delete the information we hold about you, to restrict or object to how we use it, or to send it to you in a portable format. Email info@proxivision.co.uk and we’ll reply within one month. Some records, such as invoices, must be kept by law.
If you’re unhappy with how we’ve handled your information, please tell us first. You can also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Clients’ customers
When we host a client’s website, their customers’ enquiries belong to that client, who is the data controller. We act as their data processor and only handle that information to run their website. Each client’s own website has its own privacy notice.
Changes
We’ll update this notice if anything changes, and show the new date at the top.
